Start with total cost, not the headline rate
Ask for the full monthly cost including software, any per-device fees, and the effective processing rate on a transaction size typical for your business — not just the lowest advertised number.
Ask about the contract length
Get a direct answer: is there a contract, how long is it, and what happens if you want to leave early. Vague answers here are a warning sign.
- Is there a minimum contract term?
- What's the early termination fee, if any?
- Does the contract auto-renew?
Ask who owns the hardware
Find out whether you're buying the hardware, leasing it, or whether it's provided as part of the service. If it's provided, ask what happens to it if you switch providers later.
Ask about setup
Who actually configures the menu or catalog — you, or them? Is setup in person or remote? How long does it take from signing to being live?
Ask about support after the sale
The salesperson isn't who you'll call when something breaks. Ask specifically who handles support, what hours they're available, and whether there's a real phone number or just a ticket queue.
Ask about fee changes
Processing rates and software fees can change after signup. Ask how much notice you'd get and whether the quoted rate is locked in for any period.
Ask for references or a live demo with your data
A demo using their sample data hides real friction. Ask to load your own menu or catalog and run your five most common transactions before you commit.
Write down the answers
Verbal answers on a sales call don't hold up later. Ask for the key terms — cost, contract, hardware ownership, support — in writing before signing.
